Operations & Capacity  Lead

Location: Remote
Type: Full-Time

The Short Version

We need someone who can see next week’s problems… this week. This role is about capacity, not chaos. Planning, not reacting. You are the person making sure work is routed, prioritized, and timed in a way that actually works for the humans doing it.

If you’ve ever looked at a full project queue and thought this is going to break in three days unless we adjust now… this is your role.

What You’re Really Here To Do

Make sure the team always knows:

  • What’s coming
  • What’s realistic
  • What needs to shift before it becomes a problem

You are the bridge between what we want to do and what we can actually deliver well.

Where You’ll Make an Impact

Capacity Planning & Forward Visibility

(aka: don’t let the future sneak up on us)

  • Maintain a clear, real-time view of team capacity across all disciplines
  • Look ahead 1–4 weeks and identify pressure points before they hit
  • Flag risks early and recommend specific adjustments
  • Help leadership make proactive decisions on scope, timing, and resourcing
  • Ensure new work is evaluated against actual availability, not best-case assumptions

When you’re winning:
We’re adjusting before things break. Not explaining why they broke.

Project Trafficking & Resource Routing

(aka: the right work to the right people at the right time)

  • Own how work flows through the team from intake to delivery
  • Assign and route work based on skill, availability, and priority
  • Balance workloads across Strategy, Creative, Digital, and Ops
  • Prevent bottlenecks by redistributing work before they form
  • Ensure handoffs are clear, timely, and intentional

When you’re winning:
No one is overloaded while someone else is waiting. Work lands where it should, when it should.

Proactive Project Planning

(aka: fewer surprises, fewer fire drills)

  • Build realistic timelines that reflect actual capacity
  • Anticipate dependencies and plan around them early
  • Identify where projects will collide and create pressure
  • Adjust timelines or sequencing before deadlines are at risk
  • Keep teams aligned on what’s next, not just what’s now

When you’re winning:
Deadlines aren’t stressful. They’re expected.

Flow, Rhythm & Operational Discipline

(aka: work moves because it’s set up to move)

  • Keep projects moving by removing blockers early
  • Create a steady, predictable rhythm across teams
  • Reduce last-minute work and reactive scrambling
  • Bring visibility to trade-offs so they’re decided, not absorbed
  • Support leaders in protecting both quality and pace

When you’re winning:
Work feels controlled, not chaotic. Busy, but not overwhelming.

Systems That Support Reality

(aka: tools that actually help)

  • Own and improve systems for project tracking, capacity, and resourcing
  • Ensure tools reflect real workloads, not outdated plans
  • Simplify processes that slow down visibility or decision-making
  • Make it easy to see what’s happening without digging

When you’re winning:
The system tells the truth. And people trust it.

You Might Be a Fit If…

  • You’ve worked in traffic, project management, or operations in a fast-paced environment
  • You naturally think ahead, not just react
  • You’re comfortable pushing back when capacity and expectations don’t align
  • You can juggle multiple moving pieces without losing clarity
  • You see patterns in workload, not just individual tasks
  • You’re organized, but flexible enough to adapt quickly

This Role Is Not For You If…

  • You prefer reacting to problems instead of preventing them
  • You avoid conversations about trade-offs or capacity limits
  • You like keeping things “loosely organized” instead of clearly structured
  • You focus more on tracking tasks than shaping how work flows

Why This Role Exists

Because great teams don’t burn out from too much work.
They burn out from poorly planned work.

When this role works:

  • The team can see what’s coming
  • Work is distributed realistically
  • Projects move without constant friction
  • And we deliver strong work without running people into the ground

Final Thought

We’re not looking for someone to manage projects after they start.

We’re looking for someone who shapes how they start, flow, and finish… before problems ever show up.

If that sounds like your kind of role, apply.
